Here, you’ll find answers to the most common questions asked by students about our courses, fees, campus services, and more. We’ve designed this resource to help you quickly and easily find the information you need to make the most of your time at RGIT. So, whether you’re a new or returning student, we encourage you to explore this section and find the answers you’re looking for.

  1. Can I apply directly or do I have to apply through an agent?
    • Yes you can apply directly to RGIT or you can apply through an agent.
  2. If I apply directly to college, what is your process?
    • You are required to submit an Expression Of Interest (EOI) form plus requested documentation.
      • Requested documentation will vary depending on the course(s) you have applied for.
    • The basic process is:
      • Submit an EOI form to the RGIT Marketing/Admission Team admissions@rgit.edu.au 
      • A team member will reply with the requested documentation for your selected course(s)
      • Once we have received your documents, we will provide a letter of offer
      • Ensure to read the offer letter and request any changes
      • Sign the offer letter and send it back to the RGIT staff member
      • Complete the PTR form & LLN Test
      • Make an initial payment to RGIT
      • We will send you a Confirmation of Enrolment (COE) to your personal email 
      • You will be provided orientation information and your timetable before your commencement date.
  3. If I would like to choose an agent, which agent should I contact?
  4. I live in Australia but not in Melbourne or Hobart. Can I still apply to study in Melbourne or Hobart campuses?
    • Yes you can still apply to RGIT and move to either Melbourne or Hobart before the commencement of your studies especially if your course(s) include practical or work-based training components.
    • Some courses may be available virtually, for more information please contact the marketing team at marketing@rgit.edu.au 
  • The Pre-Training Review (PTR) form is completed before the enrolment into your course(s) to ensure that the training and assessment provided by RGIT is able to meet your individual needs and host workplace requirements (if applicable)
  • The PTR ensures that RGIT:
    • Understands your reasons for taking the course
    • Ensures the suitability of the training for you
    • Understands your current competencies and provides opportunities for these to be assessed through Recognition of Prior Learning (RPL), Recognised Current Competency (RCC) and/or Credit Transfer (CT)
    • Ensures your Language, Literacy and Numeracy (LLN) skills suit the training and assessment strategies employed to deliver the course
    • Provides the relevant support required for you to succeed in the course(s)
    1. What is LLN?
      • The Language Literacy and Numeracy (LLN) Test is completed before the enrolment for all prospective students to ensure you meet the requisite minimum skill level for your initial course.
      • Each course has a different passing criteria with certificate III courses accepting a lower score than diploma level courses.
      • If you are applying for a Graduate Diploma or Certificate courses you will need to complete the Graduate LLN Test.
        • If you are applying for another course plus a graduate course, you will need to complete both tests. The graduate test can be done later if you have other courses first.
  • What if I fail the LLN Test?
      • If you are within 10% of passing for your course, you are eligible to re-attempt the LLN Test once.
      • If you have scored lower than the above or have failed the LLN Test twice, you will be recommended to take General English classes.
        • The recommended number of weeks for General English will depend on the gap of your score to the minimum pass score. 
  • Do I have to complete the PTR and/or LLN Test?
    • Yes, all VET students must complete both before enrolment
    • If you are studying General English you may not be required to complete.
    • If you have applied for both General English & VET, you will need to do both.
    • However, the LLN Test can be taken closer to the start date of your course if you are taking General English classes before your VET course(s) or need to take the Graduate LLN Test
  1. I already have an IELTS/PTE score equivalent to 6 or higher or I am a native speaker of English, do I have to do the LLN Test?
    • Yes, all VET students must complete the LLN Test, including fluent speakers.
    • If you are studying General English, you may not be required to complete.
    • If you have applied for both General English & VET, you will need to do the LLN Test at the end of your General English course.
  2. Do I have to complete a new PTR/LLN for each new course I have at RGIT?
    • No, if you have started a group of courses in the same department (example: Certificate III + IV in Commercial Cookery), you do not need to complete a new PTR/LLN each time.
    • However, if you switch departments (example: from Hospitality to Business), you will need to complete the new department’s PTR.
    • If you want to do the Graduate Diploma/Certificate in Management (Learning), you will need to complete the Graduate LLN Test.
  3. Can I only study online?
    • Yes, we have a third campus, RGIT Online where some of our face to face courses are offered digitally.
    • You cannot receive a Confirmation of Enrolment (COE) for pure online classes.
  1. Who is the right person to contact for admission?
    • You can send an email to admissions@rgit.edu.au or you can contact RGIT Melbourne campus (03 8639 9000) or RGIT Hobart Campus (03 6217 9000).
  2. The term just started, can I still get in?
    • It depends on the course you want to start. We allow up to two weeks late enrolment except for select cases. Please email marketing@rgit.edu.au for more information. 
  1. What is a eCOE?
    • This is a document that RGIT provides once you finalise your enrolment process as evidence that you are enrolled with RGIT via PRISMS (Provider Registration and International Student Management System operated by the Government of Australia). The electronic Confirmation of Enrolment (COE) will be used to apply for your student visa.
  2. The date on my offer letter is today. Can I get a eCOE and start class?
    • Once you have accepted and signed the unconditional offer letter,completed the PTR & LLN test and make an initial fee payment, we will issue your eCOE today.
    • However, you must complete an enrolment form and receive the timetable to start your classes after you receive your eCOE. You may not be able to start your course today depending on the time frame you complete the above steps.
  3. The date on my offer letter has passed, can I still become an RGIT student?
    • Yes, you must contact your agent or the Admissions Team (admissions@rgit.edu.au) to revise your offer letter start date to commence the course.
    • You will need to sign the revised offer letter to start the course on time.
  4. What are the steps to getting a eCOE?
    • Submit an expression of interest (EOI) form to the RGIT Marketing/Admission Team
    • A team member will reply with the requested documentation for your selected course(s)
    • Complete the PTR form & LLN Test
    • Once we have received your documents, we will provide a letter of offer
    • Read the offer letter and request any changes

  5. Where is my COE?
    • If you have already received your COE, it will be in your personal email inbox.
    • If you have not, there may be an admission step missing such as completing the LLN Test, making an initial payment or signing the offer letter.
    • If you have done all the steps and still haven’t gotten your COE yet, please contact admissions@rgit.edu.au 
  1. What is a VOE?
    • Verification of Enrolment (VOE) is for students who do not need electronic Confirmation of Enrolment (eCOE) as proof of your enrolment with RGIT.
    • You do not need a eCOE if you are currently on a visa that does not have study limitations (Example: Visa Subclass 485)
    • If you have any questions please email marketing at marketing@rgit.edu.au 
  2. What is the difference between COE & VOE?
    • If you are on a student visa or planning to apply for a new student visa you will need a eCOE.
    • If you are holding any other visa and will not need to apply for a student visa before course completion, you may ask for VOE from RGIT.
    • Both eCOE & VOE holders are considered RGIT enrolled students.
  1. What is CT?
    • Credit Transfer (CT) is when you have completed unit(s) of competency at another Australian institution before coming to RGIT for the same or similar course.
  2. What is RPL?
    • Recognition of Prior Learning (RPL) is when you have work experience in Australia in the relevant industry and can prove you are already competent in some of the units in your course(s).
  3. What is the difference between CT & RPL?
    • CT is for units completed in an Australian institution and student holds a Statement of attainment, RPL is for work experience.
  4. How can I get CT?

  6. If my degree is from another country, can I still get CT?
    • No, CT is only acceptable for units completed in Australia or an Australian Qualification obtained overseas.
  7. If I have 5+ years of work experience outside of Australia, can I still get RPL?
    • You may be eligible, please submit an RPL form and required evidence to the marketing team at marketing@rgit.edu.au 
  1. When do I get my timetable?
    • You will get your timetable 1-2 weeks before the start of the term.
    • If you need a customised timetable, this will take longer as the timetable needs to be created for you alone.
  2. I did not get my timetable, how can I get one?
  3. Can I change my timetable?
    • If you need to change your timetable, you must request the change within the first week of the term.
    • You may be able to change your timetable, this depends on timetable availability, not all courses or stages have multiple timetables.
    • Requests for timetable changes after the first week may not be approved.
  4. The timetable sent to me has units I’ve already completed, can I get a new timetable?
    • If you completed the units at another Institute, you will need to apply for Credit Transfer (CT)
      • You will need to submit an academic transcript or statement of attainment (SOA) to your marketing officer or marketing@rgit.edu.au 
    • If you completed the units at RGIT, another unit will be given to you based on timetable suitability.
  5. My timetable says directed study, what is it?
    • Directed study is not a formal class and varies from course to course. Usually, trainers assign assignments or tasks for you to complete that will improve your knowledge of the units you are studying. 
    • If you do not complete your directed study tasks, this will affect your attendance as self directed study can count for up to four hours of your class per week. 
  6. Why can’t my trainer mark my attendance?
  7. Why do I have to fill out an enrolment form for every course? 
    • We use enrolment forms to update student information, in case you have moved or changed phone numbers or other changes.
    • We also use enrolment forms to check that students are still interested in studying their new course. Students that do not complete enrolment forms can be cancelled for non-commencement.
  8. What is a USI? Do I need it?
    • The Unique Student Identifier (USI) is a requirement of the Government of Australia for all students studying courses in Australia (except General English students).
    • The USI keeps an online record of all your nationally recognised qualifications and units taken in Australia.
    • Your USI will stay with you for life and is very useful!
  9. Where can I see my USI?

You can see your USI on www.usi.gov.au

  1. What are the materials and resources required for my course? 
    • Most courses have required online resources (books).
    • Some Hospitality programs & Health Services programs require special uniforms and tools.
    • You can contact marketing at marketing@rgit.edu.au for more information.
  2. What is included in the material fee mentioned in my offer letter?
    • Most material fees cover online resources (books).
    • Hospitality material fees include ingredient fees for practical cooking classes.
    • For more information you can ask your agent or marketing at marketing@rgit.edu.au 
  3. What is not included in the material fee?
    • For Hospitality, uniforms and knife kits are not included in the material fee and must be purchased separately.
      • You will be able to buy the requisite uniform/kit from a third party vendor before the start of your practical classes.
  4. Where can I print my assessments?
    • In Melbourne, assessments can be printed in the Main Campus on Level 5 in the computer lab room 501.
    • In Hobart , assessments can be printed in level 3 or level 4 at the designated student printers.
    • You will need your username and password to login to the RGIT computers.
    • You will need your student card to scan at the printer to print.
  5. Can I print or photocopy personal documents at RGIT?
    • Yes
    • In Melbourne, assessments can be printed in the Main Campus on Level 5 in the computer lab room 501.
    • In Hobart , assessments can be printed  in level 3 or level 4 at the designated student printers.
    • You will need your username and password to login to the RGIT computers.
    • You will need your student card to scan at the printer to print.
  6. Is printing at RGIT free?
    • No, it is $0.10 per page side.
  7. Can the RGIT printers print in colour?
    • No, only black and white printing is available to students.
  8. My card has run out of money, where can I refill it?
    • In Melbourne, you can go to level 7 to refill your card.
    • In Hobart, you can go to level 3 to refill your card.
  9. Where do I get my username and password for RGIT computers?
    • You should receive an email one week prior starting your course with your username and password.
    • If you have not received your details or have forgotten it, please email helpdesk@rgit.edu.au  
  10. How do I get the Microsoft 365 Suite for free?
    • You are sent an RGIT email address by the second week of starting your course which can be used to download the MS Office Suite.
    • If you haven’t been able to download the MS Office Suite, please email helpdesk@rgit.edu.au  
  11. How do I get an RGIT email address?
    • You are sent an RGIT email address by the second week of starting your course. 
    • If you haven’t received your RGIT email address, please email helpdesk@rgit.edu.au  
  12. What are LMS, RTO Manager, Didasko, & Zoom used for?
    • LMS stands for Learning Management System and the LMS we are using at RGIT include RGIT Learning, Didasko & MyConnect. They are used for assessment materials and assessment submissions.
    • RTO Manager is used to check attendance and assessment results.
    • Zoom is used for online/virtual training if required.
  1. What is the LMS that RGIT uses?
    • We use a variety of different sites for different departments. Please see the table below. Your trainer will tell you in detail which LMS you will be using.

  1. I’ve forgotten my LMS password, how do I reset it?
    • Didasko, MyConnect & RGIT Learning all have “forgot your password?” links at the login screen that can be followed. 
    • Please see the RTO Manager section below for RTO Manager.
  2. I cannot see a unit on my LMS, why?
    • The most common reason is that your unit has not been enrolled in RTO Manager. 
    • Or the unit you are looking for may not be applicable to your current timetable. You may have a customised timetable which means you may have different trainers for your units. 
    • Contact Student Services at adminteam@rgit.edu.au or hobartadmin@rgit.edu.au for help.
  3. Can I submit my assessment after the due date?
    • Any assessment extension needs to be approved by your trainer and course coordinator. Please discuss the scenario with them and upon approval your due date will be changed according to the agreement. 
  4. A submitted assessment has disappeared from my LMS, why?
    • Submitted assessments are archived at the end of each term. 
  5. Where can I see my results?
    • Check RTO Manager for all assessment results.
  1. What is RTO Manager?
    • RTO Manager is a student management system used by RGIT.
  2. I’ve forgotten my RTO Manager password, how do I reset it?
  3. I cannot use RTO Manager, why?
    • There are three usual reasons why.
      • The login details are incorrect. Please double check you are using your RTO Manager details and not another LMS platform’s details.
      • There has been a sanction placed on your RTO Manager account.
      • Your account is inactive due to:
        • Graduated student
        • COE expired
        • COE/course cancelled
        • Reported/removed from RGIT
  4. What is a sanction message?
    • A sanction message is a restriction added by us for a problem. These problems that can lock your account include:
      • Non-payment of fees
      • Incomplete admissions process (Missing PTR or LLN Test)
    • Contact us for more information regarding your specific sanction.
  5. How do I remove a sanction message from my RTO Manager?
    • If you resolve the problem, the sanction will be removed. For example, if you have a sanction because of non-payment, by paying it will be removed. 
  6. I’ve submitted my assessment to my trainer but RTO Manager says “No assessment” or “NA” why?
    • Your results have not been updated. 
    • Trainers have 7 days to mark assessments from the assessment due date. 
    • Once a trainer submits the assessment result to Student Services, it can take up to 48 hours to be updated. 
  7. What is the difference between enrolled, NYS/S & NYC/C?
    • Not Yet Satisfactory (NYS) & Satisfactory (S) are used in individual assessments in a unit.
    • Not Yet Competent (NYC) & Competent (C) are used for units.
  1. What is an NYC?
    • NYC stands for Not Yet Competent and means you have more to do to complete the unit. 
  2. Why did I get NYC on a unit?
    • NYCs are given for several reasons
      • If you did not attend any classes
      • If you did not submit your assessments
        1. If you have a compelling reason, we can create an Individual Support Plan and you may need to extend your COE
      • If you submitted an incomplete assessment
      • If you missed your practical class (if required)
      • If you have plagiarised
        1. The plagiarism committee will meet to decide if you can reassess or if you must re-enrol.
  3. How do I fix my NYC(s)?
    • Depending on your circumstances you will either be able to reassess your unit or you must re-enrol.
  4. How can I find out if I can reassess the unit or must re-enrol?
    • Please look at the chart to find your specific situation.
    • If you miss a practical class, you must complete it before you can complete the unit.

  1. What do I need to do to get a reassessment?
    • You will need to complete a Reassessment Request and Outcome Form.
    • You will then need to have a meeting with a trainer or coordinator to detail what and when to correct your NYC units.
    • Once you have been given support, you will need to re-submit the assessments.
    • If you are given NYC again after reassessment, you will need to complete the process starting with the Reassessment Request and Outcome Form. 
  2. How many times can I get a reassessment?
    • If eligible, you can be reassessed up to three times.
  3. Do I have to pay for my second or third reassessment attempts?
    • Yes, except for exceptional circumstances.
  4. How much is reassessment?
    • $60 per reassessment
    • $100 per practical reassessment
    • Nursing prices are different. Please ask Student Services or the Nursing Coordinator for more information.
  5. What is the difference between reassessment and re-enrolment?
    • A reassessment is to try the assessment again to fix errors.
    • Re-enrolment is to take the class again and do the whole assessment again.
  1. What is a re-enrolment?
    • It is when you need to do the classes and assessments (and practicals if needed) for a unit again. 
  2. What are the steps to re-enrol?
    • If you have had a Study Support Plan meeting already, re-enrolment is included in that process.
    • If you have completed the Reassessment Request and Outcome Form and have gotten an NYC after the third reassessment, the outcome will be to re-enrol.
    • You will need to pay the re-enrolment fee.
    • We will send you a Customised Timetable with your re-enrolled units in it for the next term
      • We can re-enroll mid-term dependent on unit availability.
  3. How much is it to re-enrol?
    • $300 per unit

  1. What is a practical?
    • It is a class that is not in a classroom but instead in a kitchen, lab or playroom.
  2. Who needs to do practicals?
    • The courses that have practical components are:
      • Certificate III in Commercial Cookery
      • Certificate III in Patisserie
      • Certificate III in Early Childhood Education & Care (ECEC)
      • Certificate III in Individual Support
      • Diploma of Nursing
  3. Where are practicals completed?
    • You will complete practicals in a simulated work environment
      • For hospitality that is a kitchen
      • For ECEC that is a playroom
      • For Nursing that is our Nursing Lab
  4. What do I need for practicals?
    • For Hospitality you need: a complete chef’s kit & uniform, this includes:
      • Chef’s hat
      • Chef’s apron 
      • Chef’s jacket
      • Chef’s checkered pants
      • Closed toe, steel-capped boots or chef’s clogs
      • Chef’s neckerchief
      • Uniform and kit can be purchased before you start practical classes from a third party vendor
    • For ECEC you do not need anything in specific.
    • For Nursing you need a uniform that is provided by RGIT.
  5. What do I do if I miss a practical class?
    • If you tell us ahead of time, we can try to put you into another class’s practical session or, you will have to do the practical next term.
  6. Can I do a practical class if I do not have my complete uniform/kit?
    • No, it is a health and safety issue. We cannot allow you to conduct practical sessions without the correct clothing and equipment. 
  1. What is Work-Based Training (WBT)?
    • It is real life training in a real workplace environment.
  2. What is my timetable for WBT?
    • You will be given a whole term or a set number of weeks in a term to complete your WBT. 
    • Hospitality students are given a full term for their WBT.
    • You do not have a set schedule and the WBT team will contact you for visits and ensure your chosen workplace is correct for your WBT.
  3. How many hours of WBT do I need to complete?

It varies from course to course:

Certificate III in Commercial Cookery 280 hours
Certificate III in Patisserie 160 hours
Certificate III in early Childhood Education & Care 120 hours
Certificate III in Individual Support 120 hours
Diploma of Early Childhood Education & Care 240 hours
Diploma of Community Services 100 hours
Diploma of Nursing 480 hours
  1. I am already working in a related workplace to my course, can I do my WBT there?
    • Yes, you can as long as in our first visit we can see the workplace is safe for you.
  2. I cannot find a placement myself, can RGIT help me?
    • Yes, we can help you find a placement.
  3. Can I complete my WBT hours in multiple workplaces?
    • Yes, you can as long as all workplaces are safe to work in. 
  4. I’ve already done WBT in another course, do I have to do it again?
    • If it is the exact same unit, you can apply for credit transfer (CT). 
    • If it is a different unit, you need to do WBT.
  1. I have completed my course:
    1. When can I get my Certificate or academic transcript?
      • Within 30 days of the course finish date.
    2. Do you give me a hard copy or a soft copy?
      • We will give you a hard copy after you have cleared your fees and completed two forms: The Academic Result Request Form & Award Issuance Checklist.
      • We can send you a soft copy upon request 
    3. Can you send the physical copy to me by mail/post?
      • Yes, postage fees apply. 
        • International: $50
        • In Australia: $25
    4. Can I have a friend collect my certificate for me?
      • Yes. First, you need to complete a Proxy Nomination Form and give that to your friend when they collect your certificate. We cannot release a certificate to your friend without it.
    5. Do I have to pay for my certificate or academic transcript?
      • No, this is a normal part of RGIT’s services for students. However, your tuition fees must be clear.
  2. I did not complete my course but:
    1. I completed some units of competency
      • Can I still get a certificate or academic transcript?
        • No, you can get a statement of attainment instead.
      • Is a statement of attainment (SOA) the same as an academic transcript?’
        • No, a statement of attainment is for units completed.
        • An academic transcript is given for full completion of the course.
      • When can I get my SOA?
        • Within 30 days of the course finish date. 
        • Within 5 business days of the request if you are a current student.
          • This SOA will only contain the units from the previous term, not the current term if requested by a current student.
      • Do you give me a hard copy or a soft copy?
        • We will give you a hard copy after you have cleared your fees and completed two forms: The Academic Result Request Form & Award Issuance Checklist.
        • We can send you a soft copy upon request 
      • Can you send the physical copy to me by mail/post?
        • Yes, postage fees apply. 
          • International: $50
          • In Australia: $25
      • Can I have a friend collect my SOA for me?
        • Yes. First you need to complete a Proxy Nomination Form and give that to your friend when they collect your SOA. We cannot release an SOA to your friend without it.
      • Do I have to pay for my SOA?
        • No, this is a normal part of RGIT’s services for students. However, your tuition fees must be clear. However, if it a re-issuance there is a fee of $50
    2. I have not completed any units of competency
      • Can I still get a certificate, academic transcript or SOA?
        • No, but you can get a letter of enrolment
      • What is a letter of enrolment and how can I get it?
        • It says that you were/are a current student at RGIT from the start date of your first course to your finish/withdrawal/cancellation date.
        • You can apply for it with the Student Request Form.
      • When can I get my letter of enrolment?
        • You can get it within five business days.
      • Do you give me a hard copy or a soft copy?
        • We will give you a hard copy after you have cleared your fees and completed a Student Request Form. 
        • We can send you a soft copy upon request.
      • Can you send the physical copy to me by mail/post?
        • Yes, postage fees apply. 
          • International: $50
          • In Australia: $25
      • Can I have a friend collect my letter of enrolment for me?

      • What is a letter of enrolment and how can I get it?
        • It says that you are a current student at RGIT with the start date of your first course and expected end date of your final course.
        • You can apply for it with the Student Request Form.
      • When can I get my letter of enrolment?
        • You can get it within five business days.
      • Do you give me a hard copy or a soft copy?
        • We will give you a hard copy after you have cleared your fees and completed a Student Request Form. 
        • We can send you a soft copy upon request.
      • Can you send the physical copy to me by mail/post?
        • Yes, postage fees apply. 
          • International: $50
          • In Australia: $25
      • Can I have a friend collect my letter of enrolment for me?

    1. Can I still get my certificate, academic transcript, SOA or letter of enrolment?
      • Yes, you can.
    2. When can I get my requested academic document?
      • If you graduated in 2018 or after, it will take up to five business days.
      • If you graduated before 2018, it will take up to ten business days.
    3. Do you give me a hard copy or a soft copy?
      • We will give you a hard copy after you have cleared your fees and completed appropriate forms: The Academic Result Request Form & Award Issuance Checklist or Student Request Form.
      • We can send you a soft copy upon request 
    4. Can you send the physical copy to me by mail?
      • Yes, postage fees apply. 
        • International: $50
        • In Australia: $25
    5. Can I have a friend collect my academic document for me?
      • Yes. First you need to complete a Proxy Nomination Form and give that to your friend when they collect your document. We cannot release a document to your friend without it.
    6. Do I have to pay for my academic document?
      • If this is your first time receiving the document, no as this is a normal service RGIT provides for students.
      • If you have already received a certificate, academic transcript and completion letter, reissuance fee is $25.
      • If you have already received your SOA, the reissuance fee is $25.

  1. Does RGIT hold a graduation ceremony?
    • Yes, we hold two graduation ceremonies each year, one for our Melbourne campus and one for our Hobart campus.
  2. How do I attend?
    • All eligible graduates will be contacted by our Events Committee before the event.
    • You will receive an official invitation in your student email address with all the details and will be contacted via telephone (if you have let us).
  3. Do I need to pay to attend the ceremony?
    • Yes, a student booking is usually $50.
      • It covers the student + one guest.
      • It also covers the cap and gown, drinks and entertainment.
      • Additional guests are $25 each.
      • Children under 10 years old are free but must be registered.
      • Early bird promotional prices may be available.
      • Fees are subject to change.
  4. When is the ceremony held?
    • The Melbourne ceremony is held at the end of each academic year, in late November or early December.
    • The Hobart ceremony is held in April or May.
    • Ceremony dates are finalised closer to the date.
  5. Who is invited to attend the ceremony?
    • Melbourne students who have completed their qualification(s) in term 4 of the previous year and terms 1, 2 & 3 of the current academic year.
    • Hobart students who have completed their qualification(s) in terms 2, 3 & 4 of the previous year and term 1 on the current academic year.
    • Students are welcome to invite guests, additional fees may apply.
  6. What happens during the ceremony?
    • You will be invited one by one on stage to receive your certificate (testamur) from an academic representative and guest of honour.
    • There will be speeches, the Student Academic Excellence Awards and live performances.
    • Drinks and light refreshments are served at the ceremony after the official proceedings.
    • Professional photography is available on the night before and after proceedings. You can book in advance or on the night.

Starting an ELICOS Course

  1. When is ELICOS orientation? Is it a fixed date or flexible?
    • ELICOS orientation is flexible and can be whenever you like.
    • Come to campus and we can do it for you.
  2. What is part of orientation?
    • Orientation includes:
      • Completing the English Placement Test to see which class is best for you.
      • Completing an enrollment form for basic details about you, like where you live and who we should contact in an emergency.
      • Getting your student ID card.
      • Getting your timetable.
  3. When do I get my timetable?
    • Once you have finished the English Placement test and enrolment form, you will receive your timetable.
  4. I didn’t get my timetable, where is it?
    • We give a physical timetable plus an easy to read email.
    • If you lost or didn’t receive your timetable, please contact adminteam@rgit.edu.au 
  5. Can I change my timetable?
    • Class changes depend on other class availability that is the same English level. We do not always have two or more classes of the same level.
  6. Why do I have to do the English Placement Test?
    • This is to help us place you in the best class for your level. 
  7. The level I’m in is too hard/easy, what should I do?
    • If you think your level is too hard or not hard enough, please contact adminteam@rgit.edu.au or visit level 2 reception and we can help you find a better class for you.
    • Sometimes students stay at a level because the teacher thinks it is helpful to them.
  1. Is attending classes important?
    • Yes, attendance is very important for your student visa! You must attend more than 80% of total classes.
  2. For day classes, do I have to arrive in class right at 8:30am?
    • You can arrive until 8:45am without penalty.
    • If you arrive after, you will be marked absent for the first period of the day.
  3. For evening classes, do I have to arrive in class right at 5:00pm?
    • You can arrive until 5:15pm without penalty.
    • If you arrive after, you will be marked absent for the first period of the evening.
  4. Can I leave early?
    • If you leave early, you will be marked absent for the last period of the day/evening.
  5. Can I take a long break/lunch?
    • No, students must follow the timetable given/instructions of the teacher.
    • If students miss part of the period after break, they will be marked absent for that period.
  6. Do I need to go on an excursion?
    • Yes, excursions are part of the ELICOS experience.
    • If you do not go, you will be marked absent for the periods of the excursion.
  7. What are attendance warnings and why am I getting them?
    • Attendance warnings are to let a student know they are getting closer to 80% attendance.
      • First warning is sent when your attendance falls to 90% projected attendance.
      • Second warning is sent when your attendance falls to 85% projected attendance.
        • Students can meet with student services to talk about their attendance and what to do to stop your attendance from dropping.
  8. What is projected attendance?
    • It is a student’s current attendance plus what we think the most a student will attend in the whole COE period. 
    • Projected attendance only goes down, it does not go up again.
  9. What is an ITR?
    • An intention to report (ITR) email that is sent when a student’s projected attendance is below 80%.
    • If you get an ITR, you have 20 business days to appeal.
  10. How do I appeal?
    • Please complete an appeal form available on the RGIT website or on level 2 reception or attached in the ITR email.
  11. Can I ask for a translator for the meeting?
    • Yes, if we have an RGIT employee that speaks your native language, you can request him/her to translate for you in any meetings.
  12. What is an NTBR email?
    • It stands for Not To Be Reported (NTBR) and means that your appeal was accepted.
  13. What is a TBR email?
  14. Why haven’t I gotten a TBR or NTBR email yet?
    • After an appeal meeting, students are watched for two weeks to see if their attendance gets better. 
    • Please contact adminteam@rgit.edu.au if it has been three weeks or longer since your appeal meeting without getting either email.

    • We currently use Face2Face Second Edition for all English classes.
  2. Are textbooks covered in my course fee?
    • No, textbooks are not included in your course fee.

    • No, RGIT does not sell textbooks.
  4. Where can I buy my textbooks?
  5. Do I buy the student book or workbook?
    • Only buy the student’s book. 
    • The workbook is for extra practice. It is not the textbook.

    • Certificates are automatically created within 28 days of your course finish date.
    • You must have your fees paid before you can get your certificate.

  4. Why did I get a “U” when I didn’t do that test?
    • On final result forms, if a student receives a result of U or NA – Not Applicable, it will become a U on a certificate. It is very important to not miss tests so you do not get a U!
  5. I withdrew from my English course, can I still get my certificate?
    • If you have done at least one Speaking/Listening/Reading/Writing test, yes.
    • If it has not automatically been created and sent to you, please email adminteam@rgit.edu.au to request it.
  6. I was reported/cancelled from my English course, can I still get my certificate?
    • Yes, but certificates for reported/cancelled students are only done upon request. Please email adminteam@rgit.edu.au to request it.
  1. Who needs a COE extension?
    • If you cannot complete your course within your COE duration. This can be because of NYC units or compassionate and compelling reasons.
  2. What are the steps?
    • Complete an Individual Support Plan meeting with your course coordinator 
      • Your course coordinator will advise if you need a COE extension and how long it needs to be.
    • Complete a Request for Extension of COE Form.
    • COE extension requests take up to 48 hours from the form submission to Student Services to be processed.
    • You will get an email with your extended COE.
  1.  I want to return to my home country to visit, can I?
    • Yes, you can.
    • If you visit during the term break, as long as all of your classes and assessments have been completed, you do not need to do anything for us.
    • If you visit during the term due to a family emergency, you can apply for a leave of absence using the Application for Suspension of Studies, Deferral and/or Leave Form.
  2. I want to go on vacation, can I?
    • If your vacation is during the term break and no catch-up classes or assessments are pending, yes, you can.
    • If you want to go during the term, unfortunately we cannot approve leave for this reason. 
  3. I want to defer my class, can I?
    • Yes, if you have a legitimate reason. Examples are:
      • Medical conditions/illness
      • Exceptional circumstances
    • You can defer your course for a maximum of two terms depending on the reasons/evidence provided.
    • You can complete an Application for Suspension of Studies, Deferral and/or Leave Form to apply for deferral.
  4. Can I get approved leave for missing a class because:
    • I was sick
      • Yes, if you have a medical certificate.
    • I had to work
      • No, student visa holders must put studying above working.
    • my child/family member was sick and I needed to care for them
      • Yes, if you have a carer’s certificate.
    • I had a family emergency
      • Yes. You can tell your trainer and Student Services with your situation and provide supporting documents if needed.
    • My train line has construction
      • No, you should find alternative travel. 
  1. I have been studying at RGIT for less than 6 months and would like to withdraw and leave the college, can I?
    • You are required to complete the first six months of your principal course before you can ask to withdraw. 
    • If you want to withdraw before six months, you must meet with Student Services to discuss your reasons and provide the necessary withdrawal documents, including a Withdrawal and Refund Application Form. An outcome will be sent to you within five working days after you have submitted your withdrawal request.
  2. I have been studying at RGIT for 6 months or more and would like to withdraw and leave the college, can I?
    • For English students without VET courses & VET students, yes, you can withdraw. Bring a completed Withdrawal and Refund Application Form with required evidence to RGIT’s reception or email adminteam@rgit.edu.au or adminhobart@rgit.edu.au. An outcome will be sent to you within five working days after you have submitted your withdrawal request.
    • For English students with VET courses, your principal course is your VET course, not English. Please see the above question for more information.
  3. What is a principal course and how will I know what my principal course is?
    • A principal course is the highest course your student visa was granted for. 
      • For example, if you have a student visa granted for English, Certificate 3 & 4 in Commercial Cookery & Diploma of Hospitality Management, your principal course is Diploma of Hospitality Management
    • If you are taking VET courses at different schools, your principal course is the highest course at RGIT.
      • For example, if you are taking Certificate 3 & 4 of Commercial Cookery at RGIT but Diploma of Hospitality Management at another school, your principal course at RGIT is Certificate 4 of Commercial Cookery.
    • English classes do not count as your principal course if you are taking VET courses on the same student visa after even if it is at another school.
  4. My agent advised me that I do not have to notify immigration, I will be OK as long as my COE is cancelled, is this right? Do I have to notify immigration even after RGIT cancels my COE?
    • You are advised to notify the Department of Home Affairs of any changes or course variation, such as changes in course, course duration, withdrawals or being reported/cancelled by the school. 
  5. My agent advised me that I can just leave RGIT without informing the college or paying outstanding fees, is this correct?
    • No, you must follow our withdrawal processes or risk being reported for attendance or academic progress. 
    • All fees must be cleared before leaving RGIT.
  6. What are the reasons my COE(s) can be cancelled?
    • Cancelled for non-commencement – you did not start your course on the agreed date in your COE.
    • Cancelled for low attendance – English classes only. In English, you must maintain over 80% attendance.
    • Cancelled for academic non-progress – VET only. In VET, if you get two back to back terms of all/most NYC, you can be cancelled.
    • Cancelled for non-payment of fees – if you do not pay the fees in a timely manner despite support.
  7. Does my COE being cancelled affect my student visa?
    • Yes, the cancellation of COE(s) can affect your student visa.
  8. Can I re-enrol at RGIT if:
    • My COE was cancelled for non-commencement?
      • Yes
    • My COE was cancelled for attendance?
      • No
    • My COE was cancelled for academic progress?
    • My COE was cancelled for non-payment of fees?
      • No
  1. Can I get a refund if: 
    • My course is not currently offered by RGIT?
      • This is known as institute default. In case of Institute default, in the unlikely event that the Institute is unable to start or deliver the course (known as Institute default), you can choose to accept either:
        •  a refund of course fees, which will be issued to you within 14 days; or be placed in an alternative course with the Institute or another provider. If you choose this option, you must sign a new written agreement to indicate you have accepted the placement.
        • If you choose to receive a refund of course fees, RGIT will calculate and refund the unspent portion of tuition fees paid to date (i.e., tuition you have paid for, but which has not been delivered by RGIT). The refund will be paid within 14 days after cessation of the course: or
        • If RGIT is unable to provide a refund or place you in an alternative course, the TPS (Tuition Protection Service) will provide you with options for suitable alternative courses (if any such courses are available), or if this is not possible, you will be eligible for a refund as calculated by the TPS Director.
    • My visa application was rejected by the Australian government.
      •  If a student visa application or visa renewal is refused by the Australian Government, a full refund of course fees, less administration fees, will be made. The administration fee is $500 or 5% of the total paid course fees, whichever is lesser. The Institute will process the refund within 28 days (20 working days) from the day the student visa is refused by the Department of Home Affairs.
      •  If you are an international student who is currently in Australia and has your student visa application refused by the Department of Home Affairs after the commencement of your studies for not meeting visa requirements, RGIT will calculate and refund the unspent portion of tuition fees paid to date (that is, the product of the weekly tuition fees for the course and the number of weeks remaining in the paid portion of the course, after the day on which the relevant default occurred).
    • I withdraw from my course?
      • Yes, you are eligible for a refund, but it depends on the time you have submitted your complete withdrawal application from as per the below table.

    • Depending upon the reason for cancellation you may or may not be eligible for a refund.

    • You need to submit a refund and withdrawal application form with substantiating documents stating the reason for your refund.
  2. How long do refunds take to process? 
    • It takes up to 28 days from the date of making a complete withdrawal application.
  3. Does the refund go to me or my agent? 
    • The refund goes to the bank account nominated in the withdrawal and refund application form, signed by you. 
      • Please note that your signature must match one of your ID that you have submitted to RGIT at the time of enrolment.

    • Release is necessary when you leave RGIT before finishing the first six months of your principal course.
  2. If I withdraw or am cancelled from RGIT, am I automatically released?
    • No, you need to submit the Request for Release Application Form plus a letter detailing your reasons and supporting documentation, such as offer letters from another school. 
    • You must also clear your fees before you can ask for release.
    • Once all documents have been submitted, an outcome will be sent out within 5 working days.

  3. Can I pay in smaller amounts than what was agreed upon in my offer letter?
    • Yes, you can pay in installments.
      • Please request paying in installments to fee@rgit.edu.au. You must include your reason for the request.
        • If approved, we will ask you to set up a direct debit schedule for the agreed instalment amount. We can assist with this!
        • There will be a 5% additional surcharge for this payment option.
  4. What is a miscellaneous fee? Do I have to pay it?
    • A miscellaneous fee is all other fees that are not tuition. These can be:
      • Assessment booklets
      • Ingredients
      • Enrolments
      • COE change
    • Yes, you must pay it.
  5. I paid my fees within the last five days, but I still got an email asking me to pay, why?
    • Sometimes there is a delay in receiving the money in the RGIT bank account.
    • Sometimes we do not know who has paid us.
      • Please always put your student number (GT0####) in the notes.
      • Please send your own invoice showing you have paid RGIT to fee@rgit.edu.au so we can verify your payment.

  1. Where are the emergency exits?
    • Melbourne’s main campus has two exits. One is next to the lifts and will take you to Rothsay Lane. The second is between classrooms 3 and 4 that will take you to level 2, walk straight and go down the short stairwell to Elizabeth Street.
    • Victoria House campus has one exit, by the lift. It can exit out the front door to Elizabeth Street or to Staughton Alley.
    • Hobart’s campus has two exits. One is next to the lifts that will take you to Macquarie Street. The second is at the back of the building and will take you to Harrington Street.
  2. Do we use the lifts/elevators? 
    • No, during an emergency, do not use the lifts/elevators.
  3. What happens in an emergency?
    • An alarm will sound and each floor will have wardens with red hats that will guide you where to go. At the ground floor main exit, the chief warden will have a white hat on and give more directions. 
  4. Where do we go in an emergency?
    • Each campus has one or two rally points. If one is blocked because of construction or another reason, go to the other point.
    • Melbourne’s main campus’s first rally point is on the corner of Flinders St & Elizabeth St.. The second rally point is on the corner of Flinders Lane & Rothsay Lane.
    • Victoria House campus’s first rally point is on the corner of Collins St. & Elizabeth St.. The second rally point is on the corner of Flinders Street and Flinders Court.
    • Hobart campus’s rally point is on the corner of Davey Street & Harrington Street. 
  5. What/Who do we look for in an emergency?
    • Each floor of each campus has a floor warden. He or she will be wearing a red baseball cap labelled “Warden”. Follow his or her instructions.
  6. Where are the first aid kits?
    • Melbourne’s main campus has two first aid kits:
      • Level 1 practice kitchen, by the kitchen entrance near the lifts.
      • Level 2 reception, by the reception entrance.
    • Victoria House campus has two first aid kits:
      • Level 1 reception on the right hand wall.
      • Level 2 UIA reception, must be requested.
    • Hobart campus has four first aid kits:
      • Level 3 reception, by the spiral staircase.
